Booking Accommodation

Thank you for expressing your interest in booking Embogo Lodges. You have made the right decision. Our booking terms and conditions below explains what to expect when you book to stay with us. Please make your booking or check for room availability by writing to us on reservations@embogolodgesuganda.com

Validity

These terms and conditions take effect from 1^st July, 2022 until stated otherwise. In case we decide to change our terms, we shall publish new terms at least 30 days before they become effective. Already existing booking –fully confirmed with at least 20% payment are not be affected by the change in terms and conditions.

 Check in and check out time.

Our official check in time is 12:30 pm and check out time is 10:00am daily.

Late Checkout or early check in.

We understand that our guests may sometimes request to check in earlier or check out later than the stipulated times. Please ask lodge management in advance and if availability allows, we shall be delighted to honor your request.

We can extend late check out to 13:00 hours while occupying the rooms then thereafter we are happy to keep your luggage and let you use the public areas.

Rates

Room and excursion rates are quoted in USD.  Embogo lodges is located outside the park boundaries so guests do not pay park entry fees to access the lodge.

Rates charged are per person sharing per night exclusive of VAT and transfer charges. All rates are RACK only therefore tour operators and travel agents are encouraged to contact us for contract rates.

Kindly note that Embogo Lodges management reserves the right to change rates without prior communication. However existing bookings will not be affected.

Excursions and Day trips

We have a variety of day trips and excursions in Queen Elizabeth National Park and surrounding areas.

Meal Plans.

We offer Bed & Breakfast (BB), Half Board (HB), and Full Board (FB) Rates. Different meal plans attract different prices. Kindly note that each meal that is lunch or dinner is served with a soft drink of either mineral water or bottle of soda.  For breakfast we let the guest choose either continental, American or full English breakfast.

Lunch and dinner has a 3 course menu with a variety of starters, main course and desserts. If the guest prefers a lighter meal, they can choose from the Ala Carte or set menu options of the day. 

All Rates Exclude

Park or gratuities, telephone calls, alcoholic drinks, coffee and tea outside breakfast, snacks, fresh juices and cocktails. Emergency Medical evacuation is not included in the price but can be purchased at an additional coast if you book in advance.

Extra Bed

Our rooms are quite spacious therefore most of our double/ twin rooms can take an extra bed. Please confirm with the reservations team if this can be done for you at an extra cost.

Child Policy  

We welcome children from the age of 3 years. Children below 5 stay free while children 5-11.9 years pay 50% of the adult fee while sharing rooms with parents and 75% while in their own room(s). However since our rooms are far apart, we prefer that children under 12 stay in a room with at least one adult.

Payment Terms

All payments must be made in the currency in which the quotation was accepted and should be made by means of electronic or bank transfer. The client, at all times, shall remain responsible for all transfer charges incurred.

We accept Visa, MasterCard, American Express and Union Pay. Kindly note that we use a third party provider for this services and additional transaction fees may apply. All Reservations should be made in writing and acknowledged by the reservations team of Embogo Lodges.

Payment terms are as follows:

• 20% non-refundable deposit upon receipt of invoice
• Final balance due 30 days prior to arrival
• Accommodation bookings within 30 days of arrival – full payment due upon receipt of invoice
• If payment is not received in accordance with our terms and conditions, we reserve the right to cancel the booking and release the rooms
• All rates are subject to increase without notice due to factors beyond our control such as, but not limited to, Government levies and taxes.

Block Bookings.

We do not accept block bookings at the moment. All provisional bookings will automatically be released after 7 days if not confirmed.

Last Minute Bookings

Last minute bookings are defined as bookings made one week prior to guest/s arrival /check-in date.

Payments for last minute bookings that are to be made through bank transfer should be received/confirmed by our Reservations Team and reflected on the bank account not later than one day prior to guests’ arrival/check-in date.

Should the guest arrive before the balance payment is received, the amount due will be billed and collected from the guest upon their checkout.

Cancellations

• Cancellations or a reduction in services are charged as follows:
• Cancellations received more than 30 days prior to arrival – Deposit forfeited
• Cancellations received less than 30 days prior to arrival – 100% of the invoice
• No refunds are due for any unused accommodation

Lodge Inspection.

Tour operators and travel agents are welcome to inspect the lodge and get to know more about product offering. We request interested parties to write to our reservations team least (07) days before the date of scheduled site inspection.  Kindly note that we discourage walk-in guests and we reserve the right to admission.

Airstrip Transfers.

We offer transfers to and from Kihihi Airstrip at a fee. Please refer to our transfer rate card. We use five (05) Seater Safari Land Cruiser(s) with pop up roof built to navigate the rugged terrain. You can book for your transfer together with the accommodation and activities.

The same cars are available for game drives in the nearby Ishasha sector and transfers to Buhoma/Ruhija sectors of Bwindi Impenetrable National Park.

Local Resident Rate

Resident rates can only be booked within 07 days of the arrival date and is subject to availability. A Government issued photo Identification document or residency permit must be presented at the time of booking.

Special Requests

Often time’s guests may have special requests like dietary restrictions, orthopedic mattresses, accessibility to mention but a few. Please make these special requests through our reservations office or directly with the lodge manager –if already at the lodge.

Gratuities

In Uganda, we do not have a mandatory tipping policy so Gratuities are not included in our prices but can be given at the discretion of the guest.

Health and Safety.

Ishasha is hot and humid in the summer increasing the risk of mosquitoes. We advise our clients to take Malaria Prophylaxis before travelling to Ishasha. If possible also carry insect repellant and sun screen. All our room have mosquito nets and all doors and windows have also been fitted with nets to add extra protection.

Yellow fever Vaccination is also mandatory for travellers to and from Uganda.

Acceptance of Terms

Acceptance of a quote from Embogo Loges by the payment of the associated deposit or balance invoice constitutes consent to all provisions of the conditions in our booking terms irrespective if the Booking terms are signed or not.

The terms under which the client agrees to these itineraries cannot be changed or amended except if an authorized manager from Embogo Lodges does so in writing.

Force Majeure

We regret we cannot accept liability or pay compensation where the performance or proper performance of our obligations is prevented or affected by any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events include war or threat of war, riots, civil strife, border closures, unexpected government acts, terrorist activity, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, technical and/or mechanical problems to transport, road closures, disease and all similar events beyond our control.

Jurisdiction

The principal company is incorporated in the Republic of Uganda and it operates under the laws of Uganda. Your contract with us and matters arising out of it will be governed by the laws of Uganda.
